Privacy Policy

We're straight up about how we handle your data

Last Updated: October 28, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But here's the thing: at Ashthorn Veil Fitness, we're not just about pushing you through brutal workouts. We also respect your personal space, even the digital kind.

This policy breaks down exactly what info we collect when you train with us, why we need it, and what we do with it. No legal jargon BS - just straight talk about how we protect your data while helping you forge your strength.

By using our services, website, or stepping into our facility at 2847 Granville Street, you're agreeing to these terms. If something doesn't sit right with you, hit us up before you sign anything.

Personal Details

When you join up, we need the basics - your name, email, phone number, and address. Nothing sketchy, just enough so we can reach you about classes or if you forget your water bottle again.

Health & Fitness Info

This one's important. We collect health history, injury records, fitness goals, and any medical conditions that might affect your training. Why? Because we're not gonna program Olympic lifts for someone with a dodgy shoulder without knowing about it first. Your safety isn't negotiable.

Payment & Billing

Credit card details, membership plans, payment history - standard stuff for running a business. We use secure payment processors, so your card info isn't just sitting on some spreadsheet.

Facility Usage Data

Check-in times, class attendance, equipment usage logs. Helps us figure out when the gym's packed and when you can actually get on the assault bike without waiting.

Digital Footprint

IP addresses, browser type, pages you visit on our site. Pretty standard web stuff that helps us make the site not suck.

We're not selling your data to sketchy marketing companies or anything like that. Here's what we actually do with it:

  • Program Design: Your fitness goals and health info help us build training programs that won't wreck you (in a bad way).
  • Communication: Class reminders, schedule changes, membership renewals. We're not spamming you with random crap.
  • Safety & Emergency: If you collapse mid-burpee (hasn't happened yet, knock on wood), we need to know your emergency contacts and medical conditions.
  • Payment Processing: Pretty self-explanatory - gotta charge your membership somehow.
  • Facility Management: Tracking attendance helps us staff appropriately and manage class sizes.
  • Legal Compliance: Sometimes the law requires us to keep certain records. We're not thrilled about it either, but here we are.
  • Service Improvement: Figuring out what's working and what needs fixing based on how you use our services.

We don't share your personal info unless there's a legit reason. Here's when it might happen:

Service Providers

Payment processors, email platforms, scheduling software - the tools we need to run this place. They're bound by their own privacy policies and can't use your data for their own purposes.

Legal Requirements

If we're legally obligated - court orders, government requests, that sort of thing. We're not gonna fight the law, but we're not volunteering info either.

Emergency Situations

If there's a medical emergency, we'll share relevant health info with first responders. Your life's more important than data privacy in that moment.

Business Transfers

If we ever sell the gym or merge with another facility (not planning on it), your data would transfer to the new owners. You'd be notified first.

What we DON'T do: Sell your info to advertisers, share it with random third parties, or use it for anything sketchy. Period.

Yeah, we use cookies - the digital kind, not the protein-packed ones we wish we could offer. Here's the deal:

Essential Cookies

These keep the website functioning. Login sessions, security features, basic stuff that makes the site actually work. You can't opt out of these unless you wanna break everything.

Analytics Cookies

Help us understand how people use the site - which pages get visited, where folks drop off, that kinda thing. We use this to make the site less annoying to navigate.

Preference Cookies

Remember your settings and preferences so you don't have to keep selecting the same options every visit.

You can disable cookies in your browser settings if you want, but fair warning - some parts of the site might not work properly. Your call though.

We take security seriously - probably more seriously than we take rest days. Here's what we do to keep your data locked down:

  • Encryption: Your data's encrypted both in transit and at rest. That means even if someone intercepts it, they can't read it.
  • Access Controls: Only staff who actually need access to your info get it. The front desk doesn't need to see your credit card details.
  • Secure Servers: We use reputable hosting services with solid security measures, not some sketchy bargain provider.
  • Regular Updates: Software stays patched and updated to close security vulnerabilities.
  • Staff Training: Our team knows how to handle data properly and what not to do with it.

That said, no system's 100% bulletproof. We do our best, but if there's ever a data breach, we'll notify you ASAP and tell you exactly what happened and what we're doing about it.

Your data, your rules. Here's what you can do:

Access Your Data

Wanna see what we've got on file? Just ask. We'll send you a copy of your personal information within 30 days.

Correct Inaccuracies

If something's wrong - old address, incorrect phone number, whatever - let us know and we'll fix it.

Delete Your Data

You can request deletion of your personal info. We'll honor that unless we legally need to keep certain records (like payment history for tax purposes).

Opt Out of Marketing

Don't wanna hear about new classes or special offers? Hit the unsubscribe button on any email or tell us directly. We won't take it personally.

Data Portability

Need your data in a format you can take elsewhere? We'll provide it in a commonly used format.

To exercise any of these rights, shoot us an email at info@ashthornveil.info or call (604) 555-8742. We'll respond within a reasonable timeframe.

We don't keep your data forever - that'd be weird and unnecessary. Here's our approach:

  • Active Memberships: Your info stays on file as long as you're training with us.
  • Inactive Accounts: If you cancel, we keep basic info for 2 years in case you come back. After that, we purge non-essential data.
  • Financial Records: Payment history sticks around for 7 years - that's a tax law thing in Canada, not our choice.
  • Health Information: Kept for 3 years after your last visit for liability and safety reasons.
  • Marketing Lists: Until you unsubscribe or we clean out inactive contacts (usually every couple years).

When we delete data, we actually delete it - not just hide it. It's gone for good.

Our programs are designed for adults 18 and over. We don't knowingly collect info from kids under 18 without parental consent.

If you're under 18 and wanna train here, we need a parent or guardian to sign off on everything - membership agreements, waivers, the whole deal. We'll collect the same type of info, but it's handled through your parent/guardian.

If we somehow end up with data from someone under 18 without proper consent, let us know and we'll delete it immediately.

We might update this policy from time to time - new laws, new tech, new ways of doing things. When we make changes, we'll:

  • Update the "Last Updated" date at the top of this page
  • Send you an email if the changes are significant
  • Post a notice at the facility for a couple weeks

If you keep using our services after we update the policy, that means you're cool with the changes. If you're not cool with them, you can cancel your membership - no hard feelings.

We recommend checking this page every now and then, especially if you're the type who actually reads these things.

Got questions about this policy? Wanna know what data we have on you? Concerned about how we're handling your info? Just reach out:

We'll get back to you within 3-5 business days. If it's urgent, call us - email's great but sometimes you just need to talk to a human.

Note: If you're in British Columbia, you also have the right to file a complaint with the Office of the Information and Privacy Commissioner if you think we've mishandled your data. We'd prefer you talk to us first so we can fix whatever's wrong, but that's your call.

Still Have Questions?

Privacy stuff can be confusing. If anything here doesn't make sense or you wanna know more, don't hesitate to ask. We're here to help, not hide behind legal mumbo-jumbo.
